The Norwegian Coastal Administration reduces its archiving time by almost 90%.

The Norwegian Coastal Administration contacted Tribia to discuss how they could streamline their archiving - it was the start of a simpler project routine.

In the winter of 2020, the Norwegian Coastal Administration contacted Tribia because they wanted to start using Interaxo Project as a project tool. Gradually, there was also a growing need to change the archiving process - a time-consuming task that they wanted to streamline. This was the start of a completely separate integration.

Requirements for documentation

The archiving requirements from public authorities are a hygiene factor in the Norwegian Coastal Administration's development projects. But this is also a time-consuming process that we would rather not have to spend a lot of time and resources on in our busy everyday lives. Marit Olsen, Senior Engineer and Quality Manager for Development at the Norwegian Coastal Administration, is happy to now be able to use this time in other areas.

marit 2"When we first contacted Tribia, it wasn't with a completely defined desire, but we saw a growing need to streamline," she recalls.

The Norwegian Coastal Administration uses the Elements archiving system in addition to Interaxo Project. The process of temporarily storing documentation and later entering it into the solution has been cumbersome - both in terms of the time spent on the actual archiving, but also the training of those who will be doing the job.

"We wanted a simpler solution without this bottleneck for things to be archived," says Olsen.

The bottleneck is gone with new integration.
The outcome of close cooperation between the Norwegian Coastal Administration, Tribia and Sikri (supplier of Elements), was the development of a brand new integration "Interaxo2Elements". With this in place, archive-worthy documentation is now transferred both automatically and continuously between project tools and archive systems. According to Olsen, this saves the Norwegian Coastal Administration almost 90% of the time the job previously took!

"It's a great relief for a busy project manager to have this option. It has been very useful so far," she says. After implementation this summer, the integration is now being used on four of the Norwegian Coastal Administration's projects, and will be standard for future projects in the future.

Development in line with the customer's needs.
From Tribia, Nicolai Loennecken, head of consultancy, was put on the case to help the Norwegian Coastal Administration find a better solution, which Olsen is pleased about.

"The collaboration has worked really well! During the periods when we've been too busy to follow up on progress, Nicolai has been on the ball - and that's something we've needed," she says and continues, "part of the key is also that we managed to establish a functioning project group."

Loennecken believes that Tribia has everything to gain from a close dialog with customers, and cites the Norwegian Coastal Administration as an example of how well things can go when you set aside time to solve challenges from the start.

He praises the Norwegian Coastal Administration both for challenging Tribia with a specific problem and the efforts they have made in the project group.

"They gave us a challenge and set aside time to develop the best solution together. It's clear that this has been a rewarding collaboration when everyone is satisfied and we see how much time they now save," he concludes.
